Getting started

How long does it take to go live?

About 7 days. We ingest your services, pricing, hours, and FAQs into a per-business knowledge base, tune the voice, and run a test call with you. Knowledge-base updates land within minutes once you're live.

Do I need new hardware or an app?

No. Forward your existing line to your HandlerAI number, or use the fresh number we provision. Nothing to install.

Can you train it on MY business?

Yes. We build a private knowledge base from your website, services, pricing, hours, and service area. The AI only answers from your information, so it won't invent prices or quote services you don't offer.

What languages does HandlerAI speak?

English at launch. Spanish and French are next on the roadmap. Tell us if you need something specific.

Pricing & billing

What happens if I exceed my included calls?

You're billed per overage call, listed line-by-line — no surprises:

  • Starter (250 calls): $0.50/extra
  • Pro (1,000 calls): $0.40/extra
  • Business (3,500 calls): $0.35/extra

Regularly going over? Upgrading is usually cheaper than paying per-call.

Can I switch tiers later?

Yes, any time. Upgrades take effect immediately with a prorated invoice; downgrades start at your next billing period.

What's the difference between Pro and Business?

Business adds multi-user roles (admin/manager/viewer), priority SLA support, and 3,500 included calls (vs 1,000). Same voice, same CRM, same booking. Solo or 2-person shops: Pro is usually the right fit.

Is the 7-day trial really free?

Yes. Card on file to keep abuse down, but no charges until the trial ends. Setup fee only bills when you convert. Annual billing skips the trial and waives the setup fee.

Do you offer refunds?

Monthly: cancel any time, no partial-month refunds, service through end of paid period. Annual: prorated refund in the first 30 days, no questions asked.

How does the referral promo code work?

Enter HANDLERAI10 at checkout for 10% off, lifetime of the subscription. Stacks with annual billing — roughly 28% off the monthly rate on annual Pro.

Phone numbers

Can I keep my existing business number?

Yes — two options:

  • Forwarding (5 min): your carrier forwards to your HandlerAI number. Available on all tiers.
  • Port-in (5–10 business days): we become the carrier of record. Pro and Business only.
Can I get a vanity number or specific area code?

Pro and Business, yes. Tell us the area code or digit pattern during onboarding. Vanity numbers (e.g. 1-800-PLUMBER) carry a small one-time fee we quote first.

What if I cancel — do I keep my number?

If we assigned it, the number stays with HandlerAI. If you ported in, we port it back out free of charge (5–10 business days). We don't hold numbers hostage.

Does call forwarding cost extra?

Not from us. Your carrier may charge a small per-minute forwarding fee — usually pennies, often included on modern business plans.

Calls & lead capture

What happens on a typical call?

Picks up on the first ring, greets in your business's name, answers from your knowledge base, captures the lead, and (Pro+) books the appointment. SMS and email hit your phone within seconds; the lead lands in your CRM with full transcript. See the walkthrough.

Does HandlerAI record calls?

Yes. Encrypted at rest in AWS us-east-1, 90-day retention by default (adjustable). The opening always discloses the recording.

Do you transcribe calls?

Every call. Speaker-attributed transcript attached to the CRM lead and included in the email alert.

How fast do I get notified?

Under 10 seconds. SMS arrives first — name, number, project, one-line summary — so you can call back from a job site.

Will the AI tell callers it's an AI?

If asked directly, yes. We don't pretend to be human. The opening also discloses recording, so callers always know.

Can it handle multiple callers at once?

Unlimited concurrent calls. If 12 people call at once, all 12 get answered on the first ring. No hold music, no missed leads.

What about robocalls and spam?

Press-1 gate plus spam-score lookup. Flagged numbers get dropped without burning your call quota. Anything that slips through, flag it and we add to your block list.

CRM & integrations

What CRM is included?

Pro and Business get their own Twenty CRM workspace at <slug>.customer.handlerai.app. Every lead lands as a Person record with a Note containing transcript, recording, and tagged project type.

Can I use my own CRM instead?

Enterprise tier. We build a webhook or direct API push into HubSpot, Salesforce, Pipedrive, Zoho, GoHighLevel, or custom. Email us with the CRM name for a quote.

Can I export leads to a spreadsheet?

Yes. CSV export with date, project type, and stage filters. Optional daily-digest email lands every morning with yesterday's leads.

Do you integrate with Zapier?

Not yet — on the near-term roadmap. Daily digest or CSV export covers most use cases meanwhile.

Booking & calendars (Pro+ only)

Can the AI book appointments during the call?

Yes (Pro and Business). It reads your live calendar, respects your hours and "no booking" windows, and confirms the slot in real time. Calendar invite plus SMS confirmation within seconds.

What calendars do you support?

Google Calendar and Microsoft Outlook / Office 365 out of the box. Apple iCloud via CalDAV. Calendly and Acuity on the roadmap. One-click OAuth at onboarding.

Can it block out my "no booking" hours?

Yes. Tell us your off-limits days/times at onboarding (e.g. "none before 9am, no Sundays, no noon–1pm"). The AI offers the next valid slot instead.

Privacy & security

Where is my data stored?

AWS US East (Virginia). Encrypted at rest (KMS), in transit (TLS 1.2+). Recordings in a private S3 bucket, lead data in PostgreSQL in a private VPC. Privacy policy.

Are calls HIPAA-compliant?

Not yet. HIPAA with a BAA is on the 2026 Enterprise roadmap. Non-PHI use cases (general office bookings, dental front desk) work today.

Can I delete a caller's data?

Yes. Email hello@handlerai.app with the phone number or lead ID — recording, transcript, and record gone within 7 business days. Satisfies CCPA, GDPR, and PIPEDA.

Do you share my data with third parties?

Only sub-processors needed to deliver service: Twilio (telephony), xAI (voice), AWS (hosting), Stripe (billing), SES (email). Never sold, never marketed, never used to train external models. Full list.

Support

How do I reach support?

Email hello@handlerai.app — first response within 1 business day on all tiers. Business and Enterprise get same-business-day priority response. Active call-path incidents are monitored 24/7.

Do you have an SLA?

Business: 99.5% monthly uptime SLA with credits. Enterprise: typically 99.9% with defined RTO/RPO and a dedicated TAM. Starter and Pro get best-effort (we've held above 99.5% since launch).

What hours are you open?

HandlerAI itself runs 24/7/365. Human support: Mon–Fri, 9am–6pm ET. Enterprise gets extended hours and a 24/7 incident hotline.
