HandlerAI ("HandlerAI", "we", "us") provides an AI phone receptionist service to small and medium businesses (our customers). This page explains what data we collect and how we use it. We keep it short because we collect very little.
1. Who is the data controller?
When a caller phones one of our customers, our customer is the controller of that caller's data. HandlerAI is a processor acting on the customer's instructions. For data submitted directly to HandlerAI (e.g. through this website), HandlerAI is the controller.
2. What we collect
- Call data: audio recording, transcript, caller phone number, the lead details the caller provides (name, project, contact info), date and duration of the call.
- Customer account data: business name, contact name, email, billing details.
- Website data: we don't run analytics or tracking pixels on this site. Standard server logs (IP, user agent, timestamp) may be retained briefly by our hosting provider for abuse prevention.
3. How we use it
- To operate the receptionist service for our customers.
- To deliver leads, recordings, and transcripts to the relevant customer.
- To bill our customers and provide support.
- To improve the service (we do not train any third-party AI model on customer call content).
4. Sub-processors
We rely on Amazon Web Services (AWS) for telephony, voice AI (Amazon Nova 2 Sonic), storage, and messaging. Call data is processed and stored within AWS in the United States. We do not sell data to third parties.
5. Retention
Call recordings and transcripts are retained for the term of the customer's agreement and deleted on request or on account closure, subject to legal hold requirements.
6. Caller disclosure
Our contact flow plays a recording-and-AI disclosure at the start of every call. Callers who object can hang up.
